Ever and After Wedding Expo
Expo date: January 17, 2027

This agreement is between Stacey Kay Miles-Snyder d/b/a Ever & After Wedding Expo (“the Producer”) and the business named in this registration (“the Vendor”).

HAPO Center policies

The Vendor understands that outside lunches and sack lunches are not allowed by the HAPO Center. We love children, but please do not bring young children to the show. The busy trade-show environment can be distracting, and their safety is a priority.

Vendor participation and conduct

The Producer reserves the right to refuse a booth rental to any vendor for any reason. Each Vendor will conduct themselves and their business in an orderly and professional manner, with respect for all other participating vendors and in compliance with all show rules and all applicable laws, ordinances, and regulations. The Producer reserves the right to exclude or eject any objectionable person from the event or premises. A $500 fine will be imposed on anyone who shares the attendee registry with a non-participating vendor.

Cross-promotion and booth sharing

Only one business may occupy a booth or table space. Spaces may not be shared with another vendor. If the Vendor uses services, décor, florals, or offerings from a non-participating business, no promotional materials, handouts, tent cards, or signs may promote that non-participating business. Participating vendors may cross-promote one another.

Booth setup and teardown

All displays and promotional materials must be in place at least 30 minutes before the show begins. Vendors arriving late may be forced to forfeit their space without refund. Saturday and Sunday setup times will be announced. Displays and promotional materials may not be removed before the show closes without prior approval. Approval from the venue or event center is required before anything is affixed to walls, floors, or ceilings. Glitter, confetti, open flames, and other messy or potentially dangerous materials are not allowed. Backdrops and signs must be freestanding, with stands supplied by the Vendor.

Food and beverage vendors

Vendors are encouraged to provide food-product samples under strict guidelines. Food displayed for viewing must be adequately preserved and covered to prevent spills, excessive aromas, and hazards. The Vendor is responsible for paper supplies, serving utensils, service ware, food storage, chafing dishes, and cooling or heating devices. Vendors are responsible for contacting the Health Department and obtaining all required permits and licenses. Vendors may not serve or sell alcohol of any kind.

General safety and security

Displays involving open flame, emitted smoke, or excessive steam are prohibited. Electrical appliances must be UL Certified. Frayed or modified electrical connections are prohibited. Extension cords and electrical connections must be firmly secured to the floor with safety tape. The Producer or conference center may require removal of any item or equipment that may compromise safety or violate event rules. The conference center and Producer provide no security measures. Vendors are responsible for protecting their property and the safety of themselves and others. The Producer and conference center assume no responsibility for damage to or loss of merchandise or personal property.

Hold harmless and force majeure

By electronically signing this agreement, the Vendor understands and agrees that Stacey K. Miles, MileStone Events LLC, and Ever & After Wedding Expo shall not be responsible or held liable if the show is cancelled because of illness, hospitalization, auto accident, acts of God, force majeure, or other circumstances beyond the Producer’s reasonable control.

Dispute resolution

Before legal action begins, the Producer and Vendor will attempt to resolve any dispute or claim through good-faith discussion. If informal negotiation does not resolve the matter, written notice of the dispute or claim must be provided to the Producer within 30 days, and non-binding mediation through a mutually agreeable alternative dispute-resolution organization will be initiated. Mediation will continue until the matter is resolved or the mediator finds there is no possibility of resolution. Mediation will take place in the Tri-Cities, Washington area, and mediator fees will be divided equally between the parties. If the dispute proceeds to trial, attorney’s fees for actions brought against the Producer shall be limited to $500.

Cancellation policy

All deposits and payments are non-refundable, regardless of the Vendor’s reason for cancellation. A Vendor cancelling fewer than 45 days before the show is responsible for the entire agreed show fee.

Entire agreement and electronic signature

This agreement constitutes the entire agreement between the parties and may be modified only in writing signed by both parties or through an email acknowledgment received by both parties. No representations or promises have been made except those set out in this agreement. If any provision is found invalid, illegal, or unenforceable, the remaining provisions remain in full force and effect. The Vendor understands that the electronic signature on this agreement is legal and binding.

No membership is required and insurance is not mandatory. The Expo is inclusive, and our code of conduct protects a respectful, upbeat experience for everyone.

Electricity is available only as noted with the booth options above.

Vendors may add promotional items to the gift bags and are responsible for their own bag stuffing.

Vendor lunches are not provided. The concession stand will be open, and HAPO Center does not allow outside food or beverages.

The attendee registry is for participating exhibitors only and may not be distributed to non-participating vendors.
